Job Title: Special Projects Administrator
Working Hours: Full Time
Reports to: Special Projects Team Leader 

Main Purpose of Job 

The Special Projects Administrator will provide administrative and coordination support to the Special Projects Team Leader, assisting with the smooth planning and execution of projects and ensuring that all related documentation, communication and follow-up are handled efficiently. 

Main Tasks & Responsibilities 

  • Provide administrative support for special projects and related activities. 
  • Prepare, organise and maintain project documentation and records. 
  • Assist with quotations, purchase orders, invoices and other project-related documentation. 
  • Coordinate meetings, appointments, site visits and project activities. 
  • Liaise with internal departments, suppliers, contractors and other external parties. 
  • Follow up on outstanding actions, deliveries, documentation and project requirements. 
  • Maintain accurate and up-to-date project records and information. 
  • Assist the Special Projects Team Leader with project planning and coordination. 
  • Attend project sites and other locations when required. 
  • Drive company vehicles for work-related purposes, including site visits, meetings and collection/delivery of documents or materials. 
  • Report any issues, delays or important updates to the Special Projects Team Leader. 
  • Comply with UNEC Ltd’s Quality, Health & Safety, Environmental and operational procedures. 
  • Perform any other duties appropriate to the position as assigned from time to time. 

 

Personal Characteristics, Skills & Experience 

  • Good organisational and administrative skills. 
  • Good communication skills in English, both written and verbal. 
  • Good computer skills, including Microsoft Office. 
  • Ability to work independently and as part of a team. 
  • Ability to prioritise tasks and meet deadlines. 
  • Good attention to detail. 
  • Ability to work under pressure and with minimal supervision. 
  • Previous administrative or coordination experience will be considered an advantage. 
  • A valid Category B driving licence is a mandatory requirement. 
  • Willingness to travel to different UNEC Ltd locations and project sites as required.
